Privacy Policy

What we collect,and what we never do with it.

We collect as little as the product needs and we do not sell any of it. Last updated July 28, 2026.

The short version

  • We never sell, rent or mine your data — yours or your customers’.
  • Everything is encrypted in transit and at rest, and backed up daily.
  • This website sets no advertising or tracking cookies.
  • You can ask for a copy of your data, or its deletion, at any time.

The rest of this page is the detail behind those four lines. Anything unclear, ask us and we will explain it plainly.

1. Who we are

StokVibe provides business automation and management software, operated from Level 9, Hi-Tech Park, Rajshahi - 6000, Bangladesh. For data you enter about your own customers, patients or students, you are the controller and we are the processor acting on your instructions.

2. What we collect

Information you give us directly

When you use the contact form, we receive your name, email address, and — if you provide them — your phone number and the product you are interested in, plus your message. If you subscribe to the newsletter, we receive your email address.

Business data you put into the product

Whatever your work requires: stock and supplier records, invoices and payments, patient or student records, staff details and attendance. We hold this on your behalf. We do not decide what goes in it, and we do not use it for any purpose of our own.

Information collected automatically

Our servers keep standard technical logs — IP address, browser type, pages requested, timestamps and error traces. These exist to keep the service running and secure, and to investigate faults. They are not used to build a profile of you.

3. Why we use it

  • To provide the service — running your account and storing your records.
  • To reply to you — answering enquiries and support requests.
  • To bill you — issuing invoices and keeping the records the law requires.
  • To keep things secure — detecting abuse, diagnosing faults, maintaining backups.
  • To tell you about changes — service notices, and product updates if you opted in.

We do not use your data to train advertising systems and we do not run behavioural advertising anywhere on this site.

4. Who it is shared with

We share personal data only where it is necessary to operate:

  • Email delivery. Messages sent through the contact form are delivered by our email provider so they reach our inbox. They see the contents of that message in transit.
  • Hosting. The website and application run on third-party infrastructure that stores the data on our behalf under contract.
  • Legal obligations. Where a valid legal requirement compels disclosure. We will tell you unless we are legally barred from doing so.

We do not share one customer’s data with another, and each business’s data is isolated at the application level.

5. Cookies

This marketing website sets no advertising, analytics or tracking cookies. There is no consent banner because there is nothing to consent to.

The product applications set a session cookie once you log in, purely to keep you signed in. It is strictly necessary for the service to function and is removed when your session ends.

6. How we protect it

  • All connections are served over TLS, so nothing travels in plain text.
  • Data is encrypted at rest on disk.
  • Backups run daily, are encrypted, and are restorable on request.
  • Access inside your account is governed by roles you control.
  • Our own access to customer data is limited to running the service and fixing faults.

No system is perfectly secure. If a breach affects your data, we will tell you and the relevant authority without undue delay, describe what happened, and say what we are doing about it.

7. How long we keep it

  • Business data: for as long as your account is active, then 30 days after cancellation so you can export it, then deleted.
  • Contact form messages: kept while the enquiry is open and for a reasonable period afterwards for context.
  • Newsletter address: until you unsubscribe.
  • Billing records: as long as tax and accounting law requires.
  • Technical logs: a short rolling window, then overwritten.

8. Your rights

You can ask us to:

  • give you a copy of the personal data we hold about you;
  • correct anything that is wrong;
  • delete data we no longer have a reason to keep;
  • export your business data in a portable format;
  • stop sending you marketing email — every one has an unsubscribe link.

Email info@stokvibe.com and we will respond within one business day. If the request is complex we will tell you how long it will take. We do not charge for this.

If you are an end customer, patient or student of a business that uses StokVibe, your request goes to that business first — they control that data, not us. We will help them action it.

9. Children

StokVibe is sold to businesses and institutions, not to children, and we do not knowingly collect data directly from a child. Where a school holds student records in StokVibe|School, that school is the controller and is responsible for the lawful basis and any guardian consent required.

10. Where your data is held

Data may be stored or processed on infrastructure outside Bangladesh. Where that happens, we take reasonable steps to ensure it stays protected to the standard described in this policy.

11. Changes to this policy

We will update this page when our practices change, and update the date at the top. If a change materially affects you, we will email you before it takes effect rather than relying on you to notice.

12. Contact
